Privacy Policy

Your photos, stories and details are personal. Here is how we collect, use and protect them.

Last updated: 3 November 2026

Kalakosh Art Studio, run by Yashvi Shah from Sion, Mumbai, is responsible for the personal information you share with us through kalakosharts.com, email and WhatsApp. This policy explains what we collect, why, and the choices you have, in line with India's Digital Personal Data Protection Act, 2023. If you have any questions, write to kalakoshstudio@gmail.com.

01What we collect

Information you give us

  • Commission and contact forms: your name, phone or WhatsApp number, email, city, occasion, deadline, preferred art form and size, the story or brief you share, and any reference photos you upload.
  • Newsletter: your name and email address.
  • WhatsApp and email conversations: the messages, photos and details you choose to send us.
  • When you commission a piece: your delivery address and payment confirmations. We do not see or store your card or bank login details; payments are handled by your bank, UPI app or payment provider.

Information collected automatically

Like most websites, ours collects basic technical information such as your browser type, device and pages visited, mainly through cookies (see below) and our hosting provider's security logs.

02How we use your information

  • To reply to your enquiry and prepare your quote.
  • To create your artwork, share concepts and updates, and deliver it to you.
  • To keep records of payments and commissions, as required by law.
  • To send our newsletter, only if you subscribed. You can unsubscribe at any time.
  • To keep our website secure and understand how it is used, so we can improve it.

We only use your information for these purposes. We never sell your personal information.

03Your photos and stories

The photos, memories and personal details you share are used only to create your commission. They are not shared outside our studio, except with you.

We will only feature your artwork, photos or story in our portfolio or on social media with your permission.

04Who we share it with

We share only what is needed, and only with:

  • Courier partners, who receive your name, address and phone number to deliver your artwork.
  • Service providers that run our website and email, such as our web hosting and email services, which store data on our behalf.
  • WhatsApp (Meta), when you choose to message us there. Your WhatsApp chats are also covered by WhatsApp's own privacy policy.
  • Authorities, if we are required to by law.

05How long we keep it

  • Enquiries that don't become commissions: deleted within 12 months.
  • Reference photos: deleted within 6 months of completing your commission, unless you ask us to keep them.
  • Commission and payment records: kept for as long as Indian tax and accounting law requires.
  • Newsletter details: kept until you unsubscribe.

Physical keepsakes you send us are returned as agreed when the commission is complete.

06How we protect it

We take reasonable steps to keep your information safe, including secure (HTTPS) connections on our website, password-protected accounts and limited access within our small studio. No website or email service can be completely secure, but we work to protect your information and will tell you promptly if a breach affects you.

07Your rights

Under Indian data protection law, you can ask us to:

  • Tell you what personal information we hold about you.
  • Correct or update information that is wrong or incomplete.
  • Delete your information when it is no longer needed for your commission or a legal requirement.
  • Withdraw consent you have given, for example to our newsletter.
  • Nominate someone to act on your behalf if you are unable to.

To make a request or raise a concern, email Yashvi Shah at kalakoshstudio@gmail.com. We will respond as soon as possible and within 30 days. If you are not satisfied with our response, you can contact the Data Protection Board of India.

08Cookies

Cookies are small files that a website stores in your browser. We keep them to a minimum:

  • Essential cookies keep the website working and secure, and protect our forms from spam. These cannot be switched off.
  • Embedded content, such as the Google Map on our Contact page, may set cookies controlled by Google.
  • Analytics cookies, if used, help us understand which pages are visited, using anonymous, combined data.

You can block or delete cookies in your browser settings. Blocking essential cookies may stop parts of the website, such as our forms, from working.

09Children

Our website and services are meant for adults. If you are under 18, please ask a parent or guardian to contact us for you. Commissions featuring children are always arranged with a parent or guardian.

10Other websites

Our website links to other sites such as WhatsApp, Instagram and Google Maps. Their privacy practices are their own, so please check their policies.

11Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top shows the latest version. If we make significant changes, we will highlight them on this page.
